OST Synchronization Issues in MS Outlook

Do you receive error messages while you synchronize your Outlook with Exchange Server? And do you find some items missing in your mailbox after synchronization? Quick way to resolve the synchronization errors of OST files

OST file is the email records of the exchange mailbox in offline mode. The offline storage table or OST file is created when connectivity between the MS outlook and exchange server is interrupted or stopped. Unlike Outlook PST file, OST file appears only for short duration and can be accessed from the main window server. OST files allow the outlook users of an exchange domain server to use their respective accounts in offline mode. All user activities during offline period are stored in OST files and get synchronized with exchange server when MS outlook reconnects with exchange server.

However, there are certain factors that interrupt the OST file synchronization with exchange domain server. These are virus and spyware programs, crash of main window server, slow internet connection, hard disk corruption and fault in network cable. Due to non synchronization with exchange mail server, OST files become corrupt or damaged. Therefore, all user outlook mailboxes stored in corrupt OST files also become inaccessible.

Corrupt OST files due to non synchronization with exchange mail server, shows various error messages:

  • Cannot open your default email folders. The file xxxx.ost is not an offline folder file

  • Various errors when synchronizing Exchange Server mailbox with your OST file

  • Unable to expand the folder. The set of folders could not be opened. Errors could have been detected in the file xxxx.OST

  • Errors have been detected in the file xxxx.OST. Quit all mail-enabled applications, and then use the Inbox Repair Tool

There are various ways to troubleshoot the synchronization errors of OST files. If you are able to open the corrupt OST file, then the error may be due to some corrupt emails in your outlook mailbox. To troubleshoot the problem, open the outlook account from the corrupt OST file and delete the erroneous emails from your mailbox. Restart the outlook account from window start menu and OST file will synchronize with exchange mail server.

If the problem is still not fixed with above method, then you should use inbox repair tool of MS outlook. The inbox repair tool or scanpst.exe can be used to repair corrupt PST or OST files of MS outlook. It successfully splits the oversized OST file in smaller files and resolves the synchronization errors of OST file. However, if the errors of OST file are still not fixed with scanpst.exe utility of MS outlook, then use of a third party recovery software becomes essential.
